Photo Day Structure: Which Suits Your Club?

Before you pick a date or a photographer, two decisions shape your whole photo day: how your teams are photographed, and how the team photo gets paid for. Get them right and everything else falls into place.

Two photo setups · Three package structures · Every option compared side by side
Step one

Our team photo setups

Media Queensland offers two ways to photograph your teams. Both take the same time on photo day, and both give every player the opportunity for specialty individual photos, where your package includes them. Both work well, so choose the one that suits your club. Here is how each one works, and how to choose.

1. Traditional team photo

The classic team photo, done properly. Your team lines up together in rows with the coaches at the ends, and our photographer captures the whole group in one frame, everyone together on the same day. A team of around 28 children takes only 15 minutes: kids arrive together, have a laugh while the rows are built, and are back on the field before they know it. Being photographed as a team builds team spirit and a strong club atmosphere. Every team photo is finished in one of our three club templates with your club and sponsor logos, your club receives two free team photos per team, and because the group is captured in camera, proofing is simpler, production is faster and there is less administrative work for your club. It suits clubs with room for teams to line up together and a set time for each team.

2. Next Gen team photo

Next Gen takes a different approach. Each player is photographed on their own against a backdrop, and those individual portraits are composited into a single team image in post-production, giving a clean, uniform look where every player is lit and posed the same way. It fits in smaller spaces, players can be added to the team photo after the day, and players can attend any of the club's photo sessions. Because the group image is built by hand afterwards, proofing and production take longer and there is more administration involved. It suits clubs short on space or with players who may miss their team's slot, and any club that likes the look is welcome to choose it. Just let us know when you book.

Choosing for your club

Traditional suits clubs with room for teams to line up together and a set time for each team. It builds team spirit on the day, and proofing and production are simpler, with less work for your committee.

Next Gen suits clubs that are short on space or have players who cannot make their team's slot. Whichever you pick, let us know when you book and we will plan your photo day around it.

Step two

The three package structures

The second decision is how the team photo gets paid for. Each structure suits a different kind of club.

Families Order

The club pays nothing. Every child is photographed individually and in their team, and families order packs that include the team photo. If a family does not order, that child is not in a printed team photo.

Club Covers Team Photos

The club bulk orders a team photo for every registered player, so no child misses out. Individual portraits are still taken of every child, and families can order portrait packs on top if they want them.

Team Photos Only

The club bulk orders team photos and that is the whole job. No individual portraits are taken and there is no family ordering at all.

Club bulk pricing is tiered on player numbers and is highly competitive. We set your exact rate once we know your numbers.

Families Order

The club carries no cost and no risk. Photo day runs, the online gallery opens, and families order what they want.

Pros
  • Zero cost and zero commitment for the club.
  • Nothing to build into your registration fees, so it can be decided at any point in the season.
  • Families only pay for what they actually want.
  • Your club still receives its sponsorship.
Cons
  • Kids get missed. Only the families who order end up with a printed team photo.
  • Club connection. It does not build the shared club look that a full set of team photos gives you.

Club Covers Team Photos

Every registered player gets their team photo, and families still get the full portrait range if they want it.

Pros
  • Every kid is included. No child misses out because their family forgot to order.
  • The per-player rate is the lowest price anyone pays. Bulk pricing, and it comes down as your club grows.
  • Simple on the day. We run team photos and individual portraits simultaneously.
  • Families still get the choice. Individual portraits are taken of every child and offered as portrait packs, so families who want more can buy them.
Cons
  • It is a club cost. Most clubs cover it by building a small photo fee into registration, which takes a little planning before the season.
  • One price for everyone. Families who would not have ordered still contribute, though the bulk rate keeps that figure small.

Team Photos Only

The club bulk orders team photos and nothing else happens. It is the fastest day on the calendar.

Pros
  • Every player is in the team photo.
  • The shortest time on the grounds, with no individual portrait sessions to schedule.
  • No family ordering to communicate or manage.
Cons
  • No individual portraits at all. They are not taken, so they cannot be ordered later.
  • Families have no option to buy. Parents who would have wanted a portrait pack cannot get one.
  • No club sponsorship. Sponsorship is paid on the structures that include individual portrait ordering, so this one does not carry it.

Sponsorship

Sponsorship is paid on the two structures that include individual portrait ordering, which are Families Order and Club Covers Team Photos. Team Photos Only does not carry a sponsorship, because there is no portrait ordering behind it.

We agree a figure with you before photo day, scaled to your player numbers and starting from $250, and pay it after the day. We do not offer clubs a rebate on family sales, because a rebate leaves the committee guessing what will land months after the day. You know the number before you sign.

Referrals are paid on top

If you introduce another club and they sign, you receive a cash sponsorship scaled to their player numbers, starting at $250 and paid on signing rather than after their photo day. There is no cap on referrals.

Which structure is right for your club?

A quick rule of thumb:

  • Not ready to spend club money this season? Start with Families Order and review next year.
  • Want every player in the team photo without chasing orders? Go with Club Covers Team Photos.
  • Only after the team photo, with no portraits? Team Photos Only keeps it simple.

There is no wrong place to start, and you can change structure between seasons.

The short version

Families Order costs the club nothing but leaves out the kids whose families do not order. Club Covers Team Photos guarantees every registered player a team photo at a competitive bulk rate that comes down as your club grows, and still gives families the full portrait range. Team Photos Only is the team photo on its own, with no individual portraits taken and no sponsorship attached.

Not sure which one fits?

We photograph clubs across South East Queensland, Brisbane and the Gold Coast, and our photographers have worked for School Sport Australia, national federations, Queensland representative sport and some of the largest sporting clubs in the state. Frequently asked

Does our club get anything back?
Yes, on Families Order and Club Covers Team Photos. We agree a sponsorship figure with you before photo day, scaled to your player numbers and starting from $500, and pay it after the day. We do not run a percentage rebate on sales, because we would rather your committee knew the number up front than waited to find out. Team Photos Only does not carry a sponsorship, because there is no portrait ordering behind it.
What does the club pay per player?
Bulk team photo pricing is tiered on player numbers and starts from $10 a player. Larger clubs pay less per player. We give you your exact rate once we know your numbers.
Do we need to collect money on photo day?
No. There are no pre-orders and no cash at the grounds. Families order online after the gallery opens and they have seen the products, and all payment is card or PayPal through the webshop. Your volunteers never handle money or envelopes.
Who fields questions from parents?
We do. All parent contact comes straight to us at wecare@mediaqueensland.com, so your club is never stuck answering ordering questions.
Can we change structures between seasons?
Absolutely. Many clubs start with Families Order and move to Club Covers Team Photos once they have seen how the day runs.
How many free team photos does the club get?
Two per team, for the coaches or for the club, on top of whatever is ordered.
What do you need from us before the day?
Player first and last name, their team or age group, and a guardian email or phone number. Export it straight out of your registration system and we do the sorting. Four weeks before photo day is ideal, two weeks is the minimum, and it comes across through a secure delivery portal.
How long does photo day take?
We schedule 15 minutes per team, so a squad of around 28 children is done inside that. Photographers arrive 90 minutes before the first team to set up, and teams rotate through their booked slots so nobody is standing around.
How long until we get the photos?
The webshop opens two to three weeks after photo day and stays open for a year. Orders post out two to four days after they are placed.
How are the photos delivered?
Three options with any structure: bulk delivery to the club with postage on us, direct to the family home at $10 an order ($30 for framed or bulky items), or a 14 day club order window where families pick either, after which everything goes direct to home.
What happens if a child misses photo day?
We do not run our own catch up days, but if your club organises one we will photograph it. Catch up sessions cover individual portraits only, so a child cannot be added into the team photo afterwards. The best fix is plenty of notice before the day.
Who is allowed to photograph our kids?
Every Media Queensland photographer holds a current Queensland Blue Card and has completed an integrity in sport program. We are fully insured, hold public liability cover, and are happy to send the certificate through on request.
