How to order your gymnast's photos

We photograph every session at Gymnastics Queensland events. Your gymnast's photos are delivered straight to you using Waldo, our opt in face matching photo platform. No searching through thousands of images.

The registration link is always in our Instagram bio (@sportsmediaqld) and the Yapp app, and signs with a QR code are at the venue.

We shoot the event

Our photographers cover the competition floor throughout the day, and photos are processed as the event runs.

Your photos find you

Waldo matches your gymnast's face to our photos and sends them to your private gallery. You will get a text or email as new photos arrive, often during the event itself.

Missed the registration?

You can still register after the event. Waldo will search everything we shot on the day and deliver any matches to your gallery. This can take up to 24 hours.

Privacy and face matching

Face matching is opt in, always

Registering and uploading a reference photo is how you opt in. Nobody is enrolled automatically.

A facial template is biometric information, which is sensitive information under the Privacy Act 1988. That is why we ask for your consent explicitly and never bundle it into using the site. If you register for a child, you are confirming you are their parent or legal guardian and consenting on their behalf.

How it works, in plain terms

You upload one clear photo of your gymnast's face. It is turned into a facial template, a string of numbers that describes the face, not a stored photo album and not a name. That template is compared against the faces in your event's gallery so the matching photos can be sent to you. It is used for that one event and never reused at another.

Where your data is stored

For Gymnastics Queensland events, the galleries, the face matching and the ordering all run on Waldo Photos, which is based in the United States. Before we use an overseas provider we satisfy ourselves it handles personal information to a standard comparable to the Australian Privacy Principles, and we require by contract that it uses the data only to provide the service to us. All photography and editing is done in house at our Coolum Beach studio.

Deleting it, and when to ask

Email wecare@mediaqueensland.com and we will delete the reference photo and the facial template, action it with Waldo, and confirm when it is done. Worth knowing before you ask: at these events face matching is how you reach your gallery, so deleting before you have ordered also ends your ability to browse and order. Templates are deleted no later than 12 months after matching is switched off.

Who is behind the camera

Every Media Queensland photographer holds a current Queensland Blue Card and has completed an integrity in sport assessment. Our photographers work to a published child safe code of conduct, and we support the National Principles for Child Safe Organisations.

Gymnastics Queensland FAQs

How do I find my gymnast's photos?

Register before the event and upload one clear headshot of your gymnast. Waldo matches that face to our photos and sends the matches to your private gallery. You will get a text or email as new photos arrive, often while the event is still running.

When will the gallery be ready?

Within 48 hours of the event finishing. Photos are processed while the event runs, so your gallery may keep growing for a short time after it first opens. A photo arriving later than the rest is not a fault.

How long do I have to order?

Six months from the day your gallery goes live. Download anything you want to keep well before it closes, because download links cannot be reissued and a closed gallery cannot be reopened.

I missed the registration. Can I still get photos?

Yes. Register after the event and Waldo will search everything we shot on the day. Any matches are delivered to your gallery, which can take up to 24 hours.

I think photos of my gymnast are missing.

Is the face matching safe, and can I have it deleted?

It is opt in, and it is used only to match your gymnast to that event's photos. We never use it for identification, surveillance, profiling or advertising, and we never sell it. Email wecare@mediaqueensland.com to have the reference photo and facial template deleted. Because face matching is how you reach your gallery at these events, deleting before you have ordered also ends your access, so most parents ask us once their order is complete.

What can I order, and what does it cost?

Digital files start at $20, bundles start at $45 and an all event pass is $200. Prints and frames start at $22. All prices include GST. Standard postage is $10 per order, framed items are $18 per frame, and digital files carry no postage.

Who do I contact about my order?

Us, at wecare@mediaqueensland.com. Every ordering question comes to Media Queensland, never to Gymnastics Queensland or the event organisers, because they do not hold your order.
