1. Lock it in

As early as you can
✓

1. Choose your package

Families Order, where families order and pay and the club pays nothing. Club Covers Team Photos, where the club bulk orders a team photo for every registered player and individual portraits are still taken. Or Team Photos Only, a club bulk order with no individual portraits taken at all. Compare the three structures

✓

2. Book as early as you can

We regularly book out through July and August, so the earlier your date is locked, the more of the calendar you get to choose from. Request your photo day

Your job
✓

3. Check credentials before you book

Every Media Queensland photographer holds a current Queensland Blue Card and has completed an integrity in sport program, and we carry full public liability insurance. Read our child safe code of conduct

Together
✓

4. Pick a date and a space

Weekday afternoon or Saturday game day both work, and indoor or undercover is best. Send us the room dimensions. We bring everything, including our own power. If there is no room for a traditional team setup, we have an option that needs less floor. Compare the two photo setups

Your job
✓

5. Lock in your sponsorship

We agree a fixed figure with you before photo day, scaled to your player numbers, and pay it after the day. A number you know in advance, not a percentage of sales you find out about later. How sponsorship works

Together
✓

6. Send us your artwork

Your club logo and any sponsor logos. They appear on individual products and on a fully branded team photo built from one of three templates.

Your job
✓

7. Choose how orders come back

Bulk delivery to the club with postage covered by us, direct to family homes, or a 14 day club window where families choose either.

Your job
✓

8. Have a weather plan

We look for alternatives before rescheduling, and a reschedule costs you nothing.

Together

2. Tell families

6 to 4 weeks out
✓

9. Send the first notice

Date and time slot, this season's full kit, hair and boots sorted. Include the line that saves you the most questions: nothing is paid on photo day, ordering opens online about two to three weeks later. We give you the template.

Your job
✓

10. Nominate a coordinator for each team

One person per team or age group is what keeps the line moving.

Your job
✓

11. Send a reminder as the day gets closer

We send ours as well.

Your job
✓

12. Collect sibling photo requests

Sibling photos are a separate product and we schedule them into the day, so we need the list with your player data two weeks out.

Your job

3. Data and run sheet

2 weeks out
✓

13. Send us your player data

First and last name, team or age group, and a guardian email or phone. Export it straight out of your registration system, we do the sorting.

Your job
✓

14. Get it to us two weeks out

Through our secure delivery portal. This is the one deadline that moves everything else.

Your job
✓

15. Sign off the run sheet

We schedule 15 minutes per team, slot the siblings in, and build the whole thing with you.

Together
✓

16. Send families our contact address

Every ordering question goes to wecare@mediaqueensland.com, so your committee never has to answer one.

Your job

4. Final prep

The day before
✓

17. Send the final reminder

Kit, boots, hair, and their time slot.

Your job
✓

18. Clear the space

So setup can start the moment we arrive.

Your job
✓

19. Print the run sheet

And give a copy to every team coordinator, not just the one on the clipboard.

Your job
✓

20. Confirm who is unlocking, and when

We arrive 90 minutes before the first team's start time to set up, so we need access from then.

Your job

5. Keep it moving

Photo day
✓

21. Open early

We set up and light test before the first team steps up, never during.

Together
✓

22. Teams arrive to their slot

Not all at once. The run sheet only works if the club holds it.

Your job
✓

23. Quick kit and hair check

Before each team steps up. Two minutes here saves a lot of squinting at the proofs later.

Your job
✓

24. Coordinators keep the line moving

And the kids loose. Our photographers do the rest.

Your job
✓

25. We record who is absent

And send the club an absent report after the day.

We do this
✓

26. Nothing is sold or collected on the day

No order envelopes, no cash, no pre-orders.

Together
✓

27. Raise any retouch request on the day

With the photographer, noted at the time rather than at ordering.

Your job

6. Wrap up

After photo day
✓

28. Check your team photo proofs

We send them within 48 hours of photo day. Confirm every child is named correctly and matched to the right row, then send them back approved within a week.

Your job
✓

29. Your webshop opens

Two to three weeks after photo day, and it stays open for a full year. Families order prints and digital files at orders.mediaqueensland.com using the access key we provide.

We do this
✓

30. Orders are posted two to four days after they are placed

Straight from the lab, no waiting on a club run.

We do this
✓

31. Share the two deadlines with families

Seven days for the early bird discount, fourteen days for free club delivery.

Your job
✓

32. Club delivery arrives sorted

If you chose club delivery, orders come individually packaged per player and grouped by team, with the postage on us.

We do this
✓

33. Share the gallery link once more

We run reminders too, and the shop stays open a year, so late orders are never a problem.

Your job
✓

34. Collect your two free team photos per team

For the coach and the clubhouse wall.

We do this
✓

35. Leave us a review

If it went well, a Google review a month or two on helps us more than anything.

Know a club that needs a photographer?

Our referral program pays a cash sponsorship from $250, on signing, not after their photo day. Referred clubs get 50% sponsorship in their first year. There is no cap on how many clubs you send our way.

One day a season. Let's make it the easy one.
